Lesson 3 of 3
Post everywhere, then answer first
The two moves that fill a vacancy fast — wide distribution on day one and a reply that beats every competitor to the lead.
This is the lesson the first two were building toward. You’ve priced the unit and shot it well. Now the vacancy actually closes on two moves, and they’re both about time: get the listing in front of everyone on day one, then be the first person to answer every lead it produces. Slow rentals almost always fail one of these, not the price.
Post everywhere at once, not one site at a time
Renters don’t all shop where you posted. Some live on Zillow, some on Apartments.com, some on Realtor.com, some in a Facebook group for that neighborhood. Post to one portal and you’ve shown the unit to a slice of the market and hidden it from the rest. The unit isn’t slow — it’s invisible to the people who never saw it.
Hand-posting to six sites is why most people stop at one or two: it’s tedious and it eats an afternoon. That tedium is exactly the problem rental listing syndication removes — you enter the listing once and it goes out to Zillow, Apartments.com, Realtor.com and the other majors together, on day one, for free. Wide reach stops being a budget or a time decision and becomes the default.
Day-one width matters more than day-five width. The freshest listings get the most attention, so the audience you reach in the first 48 hours is worth more than the same audience reached a week later.
Then win the race to reply
Here’s the number that quietly decides everything: a rental lead that waits hours for a reply has usually already toured somewhere else. In a hot unit you’re not competing on quality of response — you’re competing on order of response. First useful reply often gets the showing, and the showing often gets the lease.
You cannot personally be first every time. You’re at dinner, you’re asleep, you’re already showing another unit. So automate the first touch:
- An instant chatbot reply answers the obvious questions — availability, price, pet policy — the moment a lead lands.
- It books the showing before the renter moves on to the next listing in their tab.
- That buys you the room to follow up like a human, on your schedule, without losing the lead to a two-hour gap.
Width times speed
Distribution puts you in every renter’s search. Speed converts the leads that search produces before a competitor does. Neither works alone — wide reach with slow replies just leaks more leads faster, and instant replies on a one-portal listing have almost nothing to reply to. Do both and a “slow” market fills in days.
Your takeaway
On your next vacancy, syndicate to every major portal on day one instead of posting to your usual one, and turn on an automated first reply the same hour. Width plus speed is the entire course in one move.
