Which AI tool should you start with?
4 questions, 15 seconds. Find your front-door priority.
Question 1 of 4
How many units are you managing?
Question 2 of 4
What's your biggest pain right now?
Question 3 of 4
Do you already have a property management platform?
Question 4 of 4
How much time can you spend reviewing AI conversations?
Your answer
Start with listings and a chatbot
Your priority is filling vacancies fast. Use free or cheap AI to write each listing, send every vacancy to the big rental sites, and put a chatbot on your website to answer the 11pm 'is it still available?' questions. Keep prewritten replies for portal enquiries and send one the same day. Typical cost: $0 to under $100 a month.

Check your platform first, then add leasing AI
First, review what your current software already includes: the article's table often answers it. If enquiry volume is outrunning your team, try an AI leasing assistant with a published price: Buildium Premium includes one (starting at $400/month), or Rently's AI-Powered Leasing plan is $37 per listing credit. Read the chat logs every day for the first month to catch mistakes before they cost you a lease.

Run a pilot on demo-priced leasing AI
This is where EliseAI, Funnel, RealPage Lumina, Entrata ELI+, Yardi and AppFolio's Performers live. Run a pilot on a few properties and measure tours booked and leases signed, not just conversations handled. Set a written policy first: what the bot may answer, when it hands over to a person, who reads the logs, and how fast. Fair housing matters: keep the bot to listing facts and send neighbourhood questions to a person.

AI for property management is software that writes listings, answers renter and resident messages, triages maintenance requests, reads invoices and builds reports. It’s now mainstream: 58% of real estate management professionals say they use AI in their role, up from 21% in 2023 (IREM and AppFolio, AI Insights 2026, 3,662 respondents). Where to start is the part most guides skip. Our answer: start at the front door. Get every vacancy written up and listed everywhere, and answer every enquiry fast. A vacant unit loses rent every day, and that’s the one problem AI can shorten this week. (Checked 17 October 2026. Disclosure: Reallyo publishes this blog and sells rental listing syndication and an AI website chatbot.)
The cheap part of that is already solved. We read the pricing and AI pages of 17 property management platforms. Twelve name AI features. Five publish a price for a plan that includes an AI listing writer, starting at free. But only one, Buildium, publishes a price for a plan that includes an AI leasing agent for prospective renters (Premium, “starting at $400/month”). Everyone else either doesn’t offer one, sells it on a quote, or lists it as “Coming Soon”.

What we found: AI in 17 property management platforms
Every row comes from the vendor’s own pricing, product or help page, read on 17 October 2026. “Not published” means the vendor sells it on a quote or demo. Prices are the vendors’ “starting at” floors, not quotes.

|---|---|---|---|
| AppFolio | Realm-X Assistant & Messages (Core); Realm-X Flows and Accounting Performer (Plus); Leasing Signals (Max) | From $1.49 per unit a month, 50-unit minimum | Realm-X Leasing Performer is described, plan and price not published |
| Buildium | Buildium Assistant and Write with Lumina (all plans); AI Bill Scan and Lumina AI Workforce (included on Premium) | Essential from $62, Growth $192, Premium $400 a month | Yes, on Premium. An add-on on lower plans, price not published |
| Rentvine | AI Assistant, Fixie maintenance agent, AI bill processing, AI listing writer, AI screening verification | ”As low as $1.50 per unit” (request pricing) | Not listed |

| Yardi Breeze | RentCafe Chat IQ chatbot (Breeze Premier add-on) | $1 per unit a month; $100 or $400 monthly minimum | Chat IQ is an add-on, price not published |
| Rent Manager | Orion AI: call summaries, writing assistant, bill and check scanning, report analysis | Quote only | Not listed |
| Entrata | ELI+ assistant (included); Leasing, Payments, Renewals and Maintenance AI (paid suite) | Not published | Leasing AI, price not published |
| RealPage | Lumina AI Workforce: leasing, resident, facilities and finance agents | Not published | Demo only |
| TenantCloud | Cloudia listing assistant (Pro and Business) | Pro $50 a month, billed annually | Not listed |
| TurboTenant | AI Description Generator, AI Lease Audit | Free | Not listed |
| Hemlane | AI listing descriptions (plan not stated) | From $2 per unit plus a $28 platform fee | A “leasing assistant”, not described as AI |
| Rentec Direct | AI Receipt Scanner, AI Form Importer, AI Listing Generator (all editions) | Starter $25 a month, up to 10 properties | Not listed |
| Propertyware, Innago, Avail, RentRedi, Stessa | None named on their pages | From free | None found |
Two things stand out. AI that writes listings is close to free: TurboTenant includes it on its free plan and Rentec Direct on its $25 Starter. AI that talks to prospective renters is the expensive, quiet part of the market: AppFolio, Yardi, Entrata and RealPage all describe one and none of them prints a price. DoorLoop, which prices everything else per unit, still lists its Prospect Agent as “Coming Soon”. (Five platforms name no AI on their own pages. That isn’t proof they have none.)
Why the front door comes first
Vacancy has a daily price. A $1,800 unit loses about $59 of rent for every day it sits empty. The calculator on this page shows yours. Faster leasing is the one AI benefit that turns straight into rent.
Enquiries still go unanswered. The best numbers come from vendors that sell AI leasing, so read them as vendor studies:
- In a Flair and Nurture Boss secret shop of more than 1,100 multifamily communities over 30 days, the average first response to an enquiry took 36 hours. The fastest 15% replied in 8 (Nurture Boss, Multifamily Revenue Gap Report 2026).
- EliseAI’s own mystery shop of more than 10,000 calls to leasing offices found a 70% answer rate and a 7% callback rate (EliseAI, 2025 Mystery Shop Report).
The back office can wait. AI that reads invoices or summarises maintenance tickets saves staff time, and that’s real. But it doesn’t fill a unit, and most of it arrives on the higher plans of software you’d change only with a migration.
Where AI leasing goes wrong
Managers who use AI leasing assistants are mostly positive and consistently cautious. These are single comments on Reddit, so treat them as anecdote, not data:
- “You can’t ‘set it and forget it’… It is a tool- not a replacement for a person.” (an EliseAI user)
- After four months with AppFolio’s LISA, one company reported “our closing ratio on leasing tours dropped by nearly 10%. The conversion of guest cards to tours did increase though by 5%.” (r/PropertyManagement) An AppFolio employee replied that LISA is becoming Realm-X Leasing Performer.
- “Doesn’t understand simple questions like, ‘Do you offer garages?’… some prospects have been emailed/texted 3-4 times.” (leasing staff using Elise through Knock)
- From the renter’s side: “an AI agent scheduled me for a tour at a time that the office wasn’t even open, and no one was there when I showed up.” (r/Apartmentliving)
The pattern: AI is good at the instant first answer and bad when nobody checks its work. One manager’s fix is low-tech: “we have 20 or so pre-written emails… we don’t have to worry about AI screwing up what we want the tenant or potential tenant to do, and we also have a human eye on it” (r/PropertyManagement).
A front-door plan by portfolio size
Under about 50 units. Spend little and fix the basics. Let AI write each listing from your notes (free in several tools), check it, and send every vacancy to the big rental sites rather than one. Put a chatbot on your website that answers from your actual listings, so the 11pm “is it still available?” gets an answer and you get a name and number. Keep a set of prewritten replies for portal enquiries and send one the same day. Typical cost: $0 to under $100 a month.
About 50 to 500 units. First, check what your current software already includes; the table above often answers it. If enquiry volume outruns your team, try an AI leasing assistant with a published price before signing an annual contract: Buildium’s Premium plan includes one, Rently’s “AI-Powered Leasing” plan is $37 per listing credit, where one credit covers one active listing for a month, bought in packs from 50 credits (Rently pricing), and Leasey.AI is “starting at $299”, basis not stated (Leasey pricing). Read the chat logs every day for the first month.
500 units and up, with a central leasing team. This is where the demo-priced platforms live: EliseAI, Funnel, RealPage Lumina, Entrata ELI+, Yardi and AppFolio’s Performers. Run a pilot on a few properties and measure tours booked and leases signed, not just “conversations handled”. Our EliseAI pricing and alternatives guide covers that end of the market.
Rules to set before you switch anything on
Fair housing. NAR’s guidance on brokerage AI policies warns that bias “can surface in subtle ways, like language that suggests who a home is ‘perfect for’ or descriptions of neighborhoods that veer into steering”, and tells brokerages to “clarify how AI can be used in emails, messaging and chatbots, including when conversations must be escalated to a licensed agent” (NAR, 24 March 2026). Keep the bot to listing facts, and hand neighbourhood and “who lives there” questions to a person.
A written policy. Only 8% of companies have a written AI policy, and 74% of employees have had no formal training (IREM and AppFolio, 2026). One page covers it: what the bot may answer, when it hands over, who reads the logs, and how fast.
A human handoff. Every tool you pick should show the visitor a way to reach a person.
Where Reallyo fits
Reallyo covers the front door for rental agents and property managers: listings, reach and the first answer. You enter a rental once, or import it from a spreadsheet, an XML feed or your property management system’s export, and it stays in sync. Reallyo sends it to 19 rental sites, including Zillow, Apartments.com, Realtor.com and Zumper, and gives every unit its own listing page with an enquiry form. The AgentAI chatbot answers visitors from your own listings, asks qualifying questions, captures their name, email and phone, and offers tap-to-call, text and email. Paid plans group portal enquiries by person in a Leads CRM.
What it doesn’t do: answer phone calls or texts for you, collect rent, run maintenance or keep your books. Keep your property management software for those. Reallyo is free for one active listing; paid plans run from $39 to $89 a month for up to 100 (pricing). Acceptance on each site depends on that partner’s rules.
FAQ
What is AI for property management? It’s software that uses AI to do property management work: writing listing descriptions, answering renter and resident messages, booking tours, triaging maintenance requests, reading invoices and answering questions about your own data. Most of it now comes built into property management platforms such as AppFolio, Buildium, DoorLoop and Rentvine.
How much does AI property management software cost? AI that writes listings is free in TurboTenant and included in Rentec Direct’s $25-a-month Starter plan. Full platforms start around $1 to $5 per unit a month with monthly minimums. AI leasing agents are rarely priced in public: of 17 platforms we checked on 17 October 2026, only Buildium published a price for a plan that includes one (Premium, starting at $400 a month).
What should a small property manager automate first? The front door: listing descriptions, getting every vacancy onto the big rental sites, and an instant first reply to every enquiry. Those shorten vacancy, which is lost rent. Accounting and maintenance automation save staff time but don’t fill units.
Can AI replace a leasing agent? Not on the evidence so far. Managers who use AI leasing assistants describe them as a tool that still needs a person to review conversations. One company reported its closing ratio on tours fell by nearly 10% after switching to an AI assistant, while its conversion of guest cards to tours rose 5%.
Does AppFolio or Buildium include AI? Yes. AppFolio’s Core plan includes Realm-X Assistant & Messages, and its Plus and Max plans add automation and accounting AI. Buildium includes its assistant and Write with Lumina on every plan, and includes Lumina AI Workforce, which has a leasing agent, on Premium.
Is using an AI chatbot for leasing a fair housing risk? It can be. NAR warns that AI can drift into steering through neighbourhood descriptions or language about who a home suits. Limit the chatbot to facts about the listing, and send questions about neighbourhoods or residents to a person.
